Receptionist & Office Management Assistant (m/f/d) – Part-time (30 hours/week)

We, Dr. STHAMER, are a globally operating company steeped in tradition. Since 1886, we have been researching, developing, and producing chemical products at our site in Hamburg/Billbrook and distributing them worldwide.

To strengthen our team, we are looking for someone to start as soon as possible. Receptionist (m/f/d) with office management duties, part-time (30 hours/week) for our Location in Hamburg.

Your area of responsibility:

Reception & Service

  • Reception and support of visitors and customers, including preparation of meetings (e.g., setting tables, making coffee)
  • Door service and central contact point at reception
  • Scheduling and room coordination for meetings
  • Ensuring a tidy and representative reception area
  • Processing / forwarding general telephone and email inquiries

Office management & organization

  • Support with general office organization and internal processes
  • Maintenance of overviews, lists and internal filing structures
  • Managing the information mailbox and general correspondence
  • Maintenance of contact data and distribution lists
  • Support with internal surveys or feedback campaigns

Events & Training

  • Organization and coordination of internal events
  • Support in planning external events
  • Support with the organization and registration of training courses

Mail, Shopping & Administration

  • Incoming and outgoing mail including parcel shipping
  • Organizing food orders
  • Ordering and managing beverages, office supplies and consumables
  • Obtaining and comparing quotes for office and consumable supplies
  • Monitoring of inventory levels and timely reordering
  • Invoice verification and allocation in the office area
  • Support with budget overviews for office and service costs

Service providers & infrastructure

  • Contact person for external service providers (e.g. cleaning, gardening)
  • Coordination of minor repairs and maintenance work in consultation with the specialist departments.

Requirements:

  • Completed commercial training or comparable qualification desirable
  • Prior professional experience in reception, assistance or office management is an advantage.
  • Friendly, service-oriented and confident demeanor
  • Excellent German skills, both spoken and written.
  • Good English skills, both spoken and written.
  • Confident use of MS Office (Outlook, Word, Excel)
  • Organizational skills, reliability, and an independent work ethic.
  • Teamwork skills and a high degree of responsibility
  • Enjoyment of working with people and diverse tasks
